Frequently Asked Questions About Information Destruction Software
How can our destruction software
help us reduce the amount of time spent invoicing and double-keying
information?
The goal is to automate and integrate processes as much as possible.
Veri-Shred accomplishes both tasks extremely well. Invoicing is
automated through the setup procedure. Once the parameters are
defined, invoicing becomes a combination of a few mouse clicks
to generate either ‘one time’ invoices or it will
pool work orders for a consolidated invoice at month’s end.
Through the customer setup interface, you have options to create
separate invoices per department, or consolidate all departments
onto one invoice. Pricing is not only customer-specific, but can
also be department-specific if required.
What features are most important
in the scheduling component of the destruction software we select?
Does Veri-Shred enable me to view
all my schedules at one glance?
Veri-Shred presents all schedules in a calendar. The calendar
gathers all of the schedules and presents the workload, not only
for a specific day, but for specific routes. There are many reports
designed to visually allow the user to easily determine which
routes are busy and which routes are light. The user can re-allocate
entries from one day to another or from one route to another until
they are satisfied that they are operating efficiently.
Does it produce service tickets
for the driver?
The system will automatically create service tickets for the driver
based on what the schedule and route allocations are. No additional
work is required to make this available.
What are the benefits of tracking
bin placement?
Bin placements are required during customer setup. The system
intentionally forces the user to provide this information as part
of the setup, ensuring customer information remains current. Barcodes
are assigned to containers as a means of allowing drivers to scan
verify their activity. This automates the billing process, allowing
drivers to capture capacity information as it relates to the container.
It also produces destruction certificates at the point of service
and continuously updates location information of your container
inventory.
Can destruction software actually
assist us in routing our drivers to ensure maximum efficiency?
Absolutely. In addition to being able to define your own routes
and associate addresses to them, Veri-Shred has its own route
optimization tool, ASI Mobile. Using its interface with MS MapPoint,
it takes the relevant addresses on any particular route and optimizes
the order in which they are serviced, taking into account start
and end destinations. It even accommodates preferred times of
service. Veri-Shred also provides a map detailing the suggested
route together with directions. Routes can be reorganized at any
time using the “route planner” function. This feature
enables the user to shift service addresses from one route to
another or from one day to another. The system will rebuild the
days that reflect a change, allowing the user to see the impact
of the prior change.
Will it tell me if a route is full?
It will report on the current capacities of any route, specifically:
number of addresses, number of containers, total pay-load and
the total time needed to perform the day’s activity.
I want to be able to see what’s
going on for the week and be able to make a decision when I’m
on the phone with a customer. Will Veri-Shred allow me to do this?
The calendar view provides the user with a full view of any day,
week, or month based on scheduled activity. They are immediately
able to make an informed decision on when and which route will
accommodate the requested service.
Can Veri-Shred help me optimize
my routes by pay load and/or geography?
Route optimization features provide the optimal route for servicing
addresses using geographical locations and road infrastructure.
Pay load capacities are established during route set up, where
limits or thresholds are determined based on truck or company
protocol.
Can I access pricing information
for specific customers?
Customer pricing is available provided users have adequate access
rights.
